From First Request to a Confirmed Coach

Five steps. You make the call at each of them, and you are not charged a cent before you accept a quote.

1. Send the plan

A good request lists the headcount; the date; the pickup time and street address; every stop in order and how long you stay; where the day ends; any bulky luggage, sports kit or instruments; and flight numbers or the ship's name for a transfer.

Mention wheelchair users or anyone with limited mobility now. That lets us put the need to operators while they are still pricing. Note any national park, ferry or toll road already on the route.

2. An operator prices it

An accredited, insured partner operator with the right vehicle free on the date takes the job. It costs the hours, kilometres, waiting, tolls, ferry space, airport access and any park permit. If the day is longer than one driver may legally work, under the Heavy Vehicle National Law or the WA or NT rules, the price includes a relief driver or the timings are reworked. The quote shows which.

3. Check the quote

One quote arrives for the trip. It sets out the vehicle type, times, route, inclusions and the cancellation terms. Those differ by operator and vehicle, so read them before anything else, then compare every line with your plan.

4. Accept it, or have it changed

If it matches, accept. That is the first point at which you are charged. You then get written confirmation. If something is off, ask for a revised quote before accepting; a request for changes binds you to nothing.

5. Changes, and the day itself

Numbers drop, a flight slips, a stop gets added. Let us know as soon as it happens. We check it with the operator, and if the price changes you are told before anything further is charged. A cancellation follows the terms written on your quote.

On the day, have everyone at the pickup on time and counted. Most airports let a coach load only when its passengers are ready, and at Sydney it may enter the pickup zone only after the flight lands. A late start can cost the final stop or push the driver over legal hours.

How long does a quote take?

That turns on the date, the route and which operators have a vehicle free. A request with every detail in it can be priced without questions going back and forth first.

Can I get two options?

Yes. Ask for, say, one 57-seat coach and, separately, a midi coach with a minibus.

Does asking for a quote cost anything?

No. Quotes are free, and you pay only if you accept one.
