Moving delegates comes down to the kerb: where the coach may stop, for how long, and how many people are standing there when it pulls in. Settle those three and the rest of the plan is arithmetic.

Kerb rules differ in every CBD

The big convention centres sit in the busiest parts of town: Sydney's by Darling Harbour, Melbourne's on the Yarra at South Wharf, Brisbane's across the river at South Bank. None of them is a place to park a coach for the day.

Melbourne's CBD bus spaces allow a stop of less than 15 minutes for passengers to get on or off; longer layover happens in designated areas outside the centre. Sydney's council offers no long-stay coach layover on city streets, and the government-run King Street Wharf facility bars boarding inside it. Perth is stricter still: buses cannot use its loading zones, even briefly. Brisbane allows inner-city coach parking only at approved spots and times.

Hotel runs and arrival waves

List every hotel by street address, not name. Each extra hotel on a loop costs minutes, so ask delegates to be in the lobby before the coach is due. For a few hundred people, two or three waves on fewer coaches often beat one convoy arriving at once.

Rules that apply

  • Under the Heavy Vehicle National Law, a bus over 4.5 t GVM built to carry more than 12 adults, including the driver, is fatigue-regulated
  • Under HVNL standard hours, bus drivers working beyond a 100 km radius of their base must keep a work diary
  • In NSW, bus operators must run a drug and alcohol program for their bus safety employees

Early starts, late dinners

A 06:30 airport pickup and a 23:00 return from a gala dinner will not fit one driver's shift. Under Heavy Vehicle National Law standard hours, a coach driver works at most 12 hours in any 24, then needs 7 hours of unbroken rest, with a quarter-hour break inside any 5.5 hours of work.

Western Australia and the Northern Territory do not use the HVNL; Perth and Darwin programs follow their own fatigue schemes. Since 1 August 2026, staying inside the hours is not enough: nobody may drive a heavy vehicle while fatigue-impaired. Give us the earliest collection and the latest return on every day of the program; the quote then says whether a second driver or a split shift is needed.

Can one coach stay with us all day?

It can be booked for the whole day, but it rarely waits at the venue door. It sets down, moves to legal parking or layover, and returns at the time on your run sheet.

How many coaches do we need for 250 delegates?

Divide by the seat count on the quote, then add staff, speakers and late joiners. A full-size coach usually takes 45 to 57, but plan with the operator's confirmed figure.

Do toll roads change the route?

Sydney, Melbourne and Brisbane tolls are all cashless, and big coaches usually pay a heavy-vehicle rate. Perth, Adelaide, Canberra and Hobart have no toll roads.
