Coaches for School Excursions and Camps
School trips go well when the paperwork and the drop-off points are sorted before the day. Once the school knows who is driving, where the coach stops and how long the day runs, the rest is routine.
Checks to make before you sign
Victoria's education department wants excursion transport planned well ahead, with registered vehicles and fully licensed drivers, and it reminds schools that workplace safety law expects reasonable steps against driver fatigue. Other states publish their own guidance; the questions a principal asks are much the same.
In NSW, a bus business needs accreditation from Transport for NSW; its drivers each hold a Bus Driver Authority lasting three years, renewed with a yearly health check after 60. In Victoria, operators with 10 or more seats counting the driver must be accredited, community and courtesy buses included. Ask for the accreditation to be named on the quote.

Belts, seats and headcounts
Coaches and heavy buses made since 1 July 1994 are built to ADR 68, the design rule for belts and seat strength; route buses are exempt. A NSW passenger aged over 16 risks a fine for an unbuckled belt where one is fitted, so brief senior students and staff.
Count every seat: students, teachers, aides and parent helpers. Two classes and their staff often fit one full-size coach better than two small vehicles.

- Any business operating a public passenger bus service in NSW must be accredited by Transport for NSW
- NSW bus operators must regularly check that their drivers' licences and driver authorities are current
Canberra and other long days
Canberra is the classic interstate excursion. Schools claiming the PACER rebate must cover three or more of four sites: Parliament House, the Australian War Memorial, the Museum of Australian Democracy at Old Parliament House, and the electoral education centre. The War Memorial's Schools' entrance is for set-down and collection only, with limited coach space on Treloar Crescent.
Sydney to Canberra takes about 3 hours each way. A same-day return uses half the driver's 12-hour HVNL work limit on the road alone, so most schools stay over. Sovereign Hill in Ballarat is about 1.25 hours from Melbourne, with bus parking opposite the Bradshaw Street entrance.
Questions
Can the coach wait outside while we are in the museum?
Often not at the door. Many venues have a set-down zone only, so the coach drops the group, parks where buses are allowed and returns at the agreed time.
Who checks that the driver is properly licensed?
In NSW the operator must check regularly that its drivers' licences and authorities are current. You can ask for that in writing when you book.
We are also using trains for part of the trip. Is there a notice period?
Victorian excursion guidance asks schools to give the transport authority at least a fortnight's notice when a group travels on public transport.
